From social orders to systematized operations

This fashion brand built a steady following on Instagram early on, selling curated apparel alongside custom floral-art pieces. But as order volume grew, the friction of taking orders through Instagram DMs began to show. Beyond tedious reconciliation and the risk of missed orders, the more pressing problem was the absence of a structured member database — making it hard to accumulate any long-term brand data.

On top of that, the highly bespoke nature of the floral art meant customers had to confirm image files, flowers, and frame specifications back and forth. That heavily manual, conversation-driven model consumed a large share of the team's operating time, and became a real cap on how many orders they could take.

Rebuilding a dual-track sales flow

Our task was to build an independent e-commerce platform that could handle both "standard apparel retail" and "custom artwork" reliably. This wasn't just setting up a shopping cart — it was systematizing the operation. We needed to turn manual, conversational ordering into intuitive spec forms, stand up a membership system in parallel, and keep the site fast and transaction-secure under load.

Architecture built for both flexibility and stability

To untangle the operation and lay the groundwork for future growth, we made targeted module choices and built them out across the system.

1. Integrated custom-order flow

For bespoke products, we used advanced product options and custom field techniques to condense the tedious DM exchange into an intuitive spec form on the frontend. Customers can upload an image, pick flowers, and choose a frame directly on the product page — folding multiple layers of customization into a single checkout flow, and cutting the brand's manual confirmation cost considerably.

2. Membership and marketing modules

To move social traffic onto the brand's own platform, we introduced a Points and Rewards system and Dynamic Pricing. System-calculated tiered discounts and points redemption replaced the old manual promotions, establishing a standardized member-retention mechanism.

3. Security baseline and performance tuning

With transactional stability in mind, we put Cloudflare in front for protection and set up MalCare for routine malware scanning, backed by two-factor authentication (2FA) on admin access. On the frontend, WP Rocket and image optimization (Imagify) keep rendering smooth even when the site displays large volumes of high-resolution product imagery.

4. Admin operations and order management

For the growing volume of orders, we set up Advanced Order Export and batch management tools, so the operations team can handle reconciliation and fulfillment more systematically.
